如何实现商务英语信函中的礼貌原则
商务英语信函是现代国际商务活动中协调人际关系、促进商务交流的必要手段。
礼貌原则是商务信函写作的基本要求,它涉及语言、交际技巧、商务知识、文化背景等因素,颇具现代英语的特点。
“礼貌、得体”是商务英语信函的灵魂,目的是为了建立和保持人与人之间的信赖关系或商业信誉,礼貌性语言对于信息的交流起着至关重要的作用。
礼貌原则决定了商务信函中的礼貌程度必然比日常信函要高。
本文将从行文态度、选择词汇、运用语气和传递结构四方面探讨商务信函中的礼貌原则的实现。
一、行文态度的选择1.以他人为重的态度 在商务信函中,礼貌原则要求我们尽量从对方利益出发,站在对方的立场上表达我方的意愿。
站在对方立场上看问题,考虑对方的处境,明白对方的难处,使对方感到自己的地位受到尊重,鼓励对方与我们合作,从而促进业务的往来。
因此要尽量使用第二人称代词you和your,而较少用第一人称代词I, we, my和our,即所谓的your attitude。
例如:(1)Your active participation in this conference will be highlyappreciated. (2)We will highly appreciate your active participation in thisconference. (1)句虽合情合理,但没有完全采取对方立场。
用“我们认为”这种句型一定程度上是以自我的标准为中心,没有令对方感觉到是从收信人角度考虑,没把对方利益放在首位,不能体现我们的目的是让收信人觉得受到尊重和重视。
而(2)句则以对方为中心,充分肯定了对方的积极参与,体现了礼貌原则。
需要注意的是,在收信人有过失时,刻意使用you,实际上强调了对方的错误,使对方面子上过不去,而多用we和I却更能体现your attitude的内涵。
例如:Apparently you misunderstood our order.Anyway you shippedthe wrong thing.应改为: Apparently our instructions are not clear,with the result that the wrong article was shipped.这种多让自己承担责任,对对方少加指责,通情达理的婉转表达无疑是吸引合作伙伴的有利因素。
2.采用肯定的态度 成功的信件往往都采用肯定的态度或肯定的思维,没有人期待一种否定的观点。
因此,拒绝时尤其需要策略。
由于人们更愿意接受肯定的事物,在写信时可以将否定的观点改为肯定的观点 以便缓和语气。
如:(1)We make no refunds after 3-month guarantee has run out.(2)We can only make refunds during the 3-month guaranteeperiod. 尽管上面句子中,第二句表达的信息跟第一句相同,但是读者更喜欢第二句,因为它们给了他一个肯定的答复。
在商务英语信函中,我们要尽量创造出一种积极而肯定的气氛,因为表达肯定意义的词语比否定的词语更有可能帮你达到目的。
肯定的语言还有助于你和你的公司建立起与收信人的良好关系。
二、词汇的选择1.尽最大可能选择有积极意义的词语进行使用 语言是信息的载体,一封用心选择语言的信函不仅能表达字面上的意义,而且能够传递一种情感,还能体现出客气和周到。
在商务信函中应当选择一些含有积极情感意义的词语如pleased,satisfy, obliged, welcome等。
这样能使对方身心愉悦,有利于双方的合作。
特别在有关催款、投诉、索赔等信函中,即便错不在己,也要对对方所做的任何一点积极努力给予肯定与赞扬,做到礼貌得体。
例如:(1)I would appreciate having your reply by July1st so that wecan finalize our program.. (2)You kind invitation this time is most welcome.(3)We should be greatly obliged if you would let us have yourcurrentprices including service charges. 与此相反,信函中要极力避免使用no, cannot ,claim,complaint, inefficiency等词的使用。
在商务英语信函中,否定意义的词语容易给人不愉快的感觉。
直截了当地加以否定,买卖双方会失去合作的兴趣,双方贸易关系会由此中断。
基于礼貌原则,我们经常在商务英语信函中把消极的用法藏于积极的用法之中,至少语气上委婉得多,尽量做到礼貌得体。
例如“Thank you for call-ing our attention to the late arrival of the samples.”就比“Wehave received your complaint about the late arrival of the samples.”要礼貌得体得多。
2.正确使用情态动词 由于商务信函往来多数是磋商、答询公务,往往涉及愿望、允诺、赞许、建议、催促、询问、拒绝、辩解或申诉、质问、谴责等等,所以英文商务信函中情态动词使用频繁。

例如:We would like to suggest alternative where there are shipmentsavailable. 在这一句中,“would like”表示的是一种请求的语气。
如果去掉“would”就有了强加于别人的意味,对方从心理上会比较难以接受。
需要说明的是,情态动词多用于If条件句中,帮助写信人表达各种语气。
而情态动词的使用,在语气上就委婉得多,显得礼貌得体。
例如:I should be very much obliged if you would arrange a seaton thesame flight for the 18th September. 情态动词can,could, will和would一般情况下可以通用,但could和would与can和will相比之下更有礼貌。
