书信(Letter)一般可分为事务信件或公函(Business Letter or Offical Correspondence)以及私人信件
(Private Letter)两大类。一般包括以下几个要点:
1) 收信人的姓名和地址;
2) 寄信人的姓名及其与收信人的关系;
3) 寄信人的地址(有时可以省略);
4) 写信的时间;
5) 信的内容。
二、书信的格式
1) 信头(Heading);
2) 称呼(Salutation);
3) 正文(Body of the letter);
4) 结束语(Complimentary close);
5) 签名(signature)。
三、书信的种类
1) 邀请信
邀请信有正式和非正式之分,也有介于两者之间者。正式邀请信一般属于公函类,私人邀请信一般属于非正式文体。邀请朋友、熟人参加某一聚会时,再词句上不一 定多加斟酌,用词太正规倒显得关系不密切。但是如果与被邀请人不太熟悉的话,最好用正式文体。如虽认识但并不十分了解,文体可介于两个者之间。由此可见, 私人邀请究竟用什么文体,关键看与被邀请人之间的亲疏的程度。邀请信要明确写出活动(是晚会、晚餐还是一般的聚会等)、活动的时间地点组织这项活动的理 由,有时还应告诉对方可能出席的人,另外一般希望对方给予答复。

感谢信一般包括以下几点:

③致谢并详述所收到的礼物或得到的帮助等;
④结尾及谦称。

求职信属于公务信函,格式和用词比较规。信的内容大体上分为三部分
①写信的目的,
②自我介绍,
③要求。
注意下面几点:
①写信的目的要直截了当地在信的开头提出。
②自我介绍部分主要介绍自己的学历、工作经历、解决问题的能力等等。在行文、用词上要表现出自信、恳切的态度,语言简明扼要,突出介绍自己的优点,与众不同的特长或有利条件。还要紧扣用人单位的需求,巧用词语,有国地说服对方,此职非你莫属。
③最后提出进一步联系的途径,如:时间、地点。还可以主动提出接受面试或考核等。
④求职信在写作特点上主要用第一人称以及动词的一般现在时。如:

书写英语信件要注意下面几点: (一) 英语书信结构、书写款式及要求: 1.书信结构 英语书信结构一般有以下几个部分组成: 1)信封(envelope)。英语的信封和中文的一样,有三部分组成,即发信人地址、收信人地址和邮票。只不过英语信封的格式除了邮票所贴的位置 (信封的右上角)和中文的一样外,英语信封上要写的发信人和收信人的地址和中文的大不一样。发信人的地址应写在信封的左上角,收信人的地址应写在信封偏中 右偏下处,如下:

2)信头 (heading),即写发信人的地址和日期(右上角)。信头位于信的最上方,原则上首先按从小到大的顺序(正好与中文书信相反),门牌号码和街名或单位 名占一行(太长可占两行),城镇名和邮政编码占一行,国名占一行。然后是发信日期,它是信头的最后一行,可以写成日月年(英式)也可写成月日年(美式), 如:May8,1996或8May,1996. 必然说明的是,月份要写英文名称,否则有可能产生歧义,如5/8/1996,美国人会理解为1996年5 月8 日,而英国人则理解为1996年8 月5 日。
3)信内姓名地址 (inside address),即写收信人的姓名和地址(左上角)。封内地址必须和信封地址一致,否则就是出了差错,收信人此时可将信退回或按封内地址转寄。封内地址 的第一行是收信人姓名,第二行职务,从第三行开始写收信人地址,写出法原则上和写发信人地址一样。
4) 称呼 (salutation),即写对收信人的尊称(一般用Dear Mr. … ,; Dear Madam Helen,; Dear Miss…,; Dear John,; Dear Professor Smith,等)。称呼应与亲近程度相吻合。最为正式的也是最不亲近的称呼为Dear Sir(英国用)或Dear Genteman (美国用),一般用于给政府机关、官员的公函中,或用于首次往来的商业书信中。比较熟识的人由应称他的姓,最随便也是最亲近的称呼是直呼其名,一般用于亲 朋好友,但应注意,称姓时只称姓,不要又称名,而称名时 不要加Dr或Mr. 如某人全名为William.另外,如果对方为女性却不知应称Mrs.还是Miss时可称Ms. 。称呼后面的标点英国人习惯用逗号,而美国人习惯用冒号(亲朋好友之间可用逗号)。称呼直接写在收信人地址的正下方,中间空一至二行。称呼后面的标点一般 只能用逗号。 以上信头、信内姓名和地址三部分的结构如下:

5)正文 (body),即信件内的主要内容,是信的主体,和中文书信的要求一样,正文的内容要主题突了出、层次清楚、语言简洁、表达准确。如果正文很长需要几张信 纸联页时,则应在每张联页左上端都注明页数和收信人名称,如:Mr.WilliamJ.Hall。正文第一句句子一般和称呼之间空一至二行。
6)信尾客套语 (complimentary close),即写信人在信的右(或左)下角,写上表示自己对收 信人一种礼貌客气的谦称,相当于文中书信最后的“祝好”、“致礼”之类的话语。如:Best wishes。
7)信尾签名 (signature),即亲笔签上写信人自己的姓名,如:Sincerely,; Sincerely yours,; Yours sincerely,; Friendly yours,; Truly yours,; Yours truly,; Cordially yours,; Yours cordially,。如果是用打字机或电脑写的信,在写信人签名的上方,同样应该打上写信人的姓名。 除以上七个部分外,有时一些英语书信还包括:(1)附件 (Enclosure),以Enc. 表示,如“附有。。。。。。证明”应写为Enc…Certificate;(2)再启(附言) (Postscript),一封信写完了,突然又想起遗漏的事情,这时用P.S.表示,再写上遗漏的话即可,要长话短说。通常在信末签名下面几行的左方, 应于正文齐头。注意:在正式的信函中,应避免使用附言。. 表示;(3)抄送件(Carbon Copy to…),以c.c. 表示,说明一式多份抄送其他有关人员。这些都是次要的补充部分。P.S. 主要在私人信件中使用,事务信件中应避免使用,以免造成写信人粗心大意的印象。Enc.和c.c. 大都用在商贸信函中。

当前的书信格式主要有英式和美式两种。英式结构即缩进式结构,属于比较传统的结构,即每一段的第一行都向里缩进4-8个字符,且所有段落的缩进距离必须保持一致;称呼顶格写,落款则在中间偏右的位置。美式结构则是齐头式结构,在商务英语中比较流行,尤其普遍运用于电子邮件的交流中,其特点是所有段落的第一行都顶格写,段与段之间空一行,另外称呼、落款等也都顶格写。具体如下所示:

书信的结构:
英文的书信结构通常包括6个组成部分:信头(heading,包括寄信人地址和日期)、信内地址(inside address,指收信人地址)、称呼(salutation)、正文(body)、结束语(complimentary)、签名(signature),有时候还包括附
言(postscript)和附件(attachment)。
称呼:
称呼是书信的开头部分,是写信人对收信人的称谓。无论是私人信件、还是公务信件,一般都以“Dear”作为开头引出收信人的姓名和头衔。称呼的后面一般都要求加逗号。
在私人信件中,如果写信人与收信人关系比较亲密,则称呼可以比较随意,一般都是“Dear”后面直接加人名,如“Dear Anna, Dear Tom”等;或者“Dear”后面加长辈的称呼,如“Dear Papa, Dear Aunt”;如果关系不是非常亲密,则要称呼对方的姓,写做“Dear Mr. Smith, Dear Mrs. Smith, Dear Miss Smith, Dear Ms Smith”。注意,在不知道女士的婚嫁状况的时候,宜用“Ms.”。
在公务信件中,一般的称呼格式是在收信人头衔后加姓,或者加收信人全名。要特别注意收信人的头衔。具体称呼方式及缩写如下:

结束语是写信人对于收信人的谦称和致敬。在私人信件中,一般可以用“Best wishes, Best regards, Best, Regards, Warmest Regards, Yours, Yours ever, Yours sincerely, Cordially”。如果是用于关系非常亲密的朋友或者亲人,则还可以用“Yours affectionately, Affectionately, Love, Lovingly, Cheers,
Your devoted friend, Your loving son (daughter, nephew, niece, grandson, granddaughter, father, mother, husband, wife, etc.)”。
在公务信件中,一般可以用“Yours sincerely, yours faithfully, Yours truly, Yours respectfully, Yours gratefully, Yours cordially”等。
特别是在给一些团体和不知名的个人的正式信件中,除了以上结束语外还可以采用以下形式:Truly yours, Sincerely yours, Faithfully yours, etc.
英文信件结束语形式非常多,对于考生来说如果能够掌握各种情况下的不同结束语自然最好,但是对于应试来说,考生掌握一个“Yours sincerely”就可以以不变应万变,因为这个结束语普遍适用于私人和公务信件。

信头也称信端,通常位于信纸的右上角。它包括两项内容:(1)写信人的地址,(2)写信日期。凡是正式英语信函都需要写上发信人的地址和日期。但如果使用具有公司或单位台头的信纸,则只需写上日期即可。需要注意的是,英语书信和汉语书信在地址和日期的写法上有很大的不同。汉语书信的地址是从大到小依次排列,而英语书信则恰恰相反, 即从小到大。例如:

收信人的姓名地址也称信内地址, 它位于信笺的左上角,从左边略低于写信日期一、二行处顶格写起。先写姓名和头衔,后写地址, 其排列次序与写信人的先后次序要求一样。
在非正式英语信函中,可以不写收信人的姓名地址,但是在正式英语信函中则必须包括这一项内容,而且通常还需要在收信人的姓名后包括称谓和职务。注意,收信人的地址要排在发信人的地址和日期之后。
收信人的姓名前冠以何称,有一定的习惯。常见的情况是:
根据收信人的性别分别在名字前加Mr. Mrs. Miss, Ms.等词。
Mr. (Mister) 冠于男子名字前,复数为Messrs. (Messieurs), 相当于Gentlemen。
Mrs. (Misstress) 用于已婚妇女,之后接其夫之姓。如:Mrs. Smith
Miss (无缩写形式),用于未婚女子, 如:Miss Jane.,其复数为Misses, 如:Misses Jane and Mary
Ms. 用于不知是否已经结婚的妇女。这在事务性信件中较为常见。
(2)根据收信人的身份冠以学位、头衔等,如: Dr. (Doctor) 冠以博士之姓名前;
Rev. (Reverend) 冠以神职人员的姓名前;
Prof. (Professor) 冠以教授的姓名前;
Pres. (President) 冠以董事长、会长、大学校长、总统的姓名前; Hon. (Honorable) 冠以市长、内阁成员、议员、大事、法官等姓名前
(3)如果收信人是公司、机关或单位,一般不写个人的名字,而写负责人的职务名称,如 The Manager, The President 等。
3.称呼 (The Salutation)
非正式英语书信中,多半是在Dear 之后直呼其名或在My dear 后 加上称呼,如Dear John, My dear father 等。但在正式英语信件中, 则要根据收信人是谁而相应的变动。一般情况是:
(1) 写给个人或自己的朋友,常在姓名、姓氏、名字前加 Dear 一词。如:Dear Wang Jing, Dear Wang, Dear Jing。写给外籍人士,可用Dear Mr. Smith, Dear Mrs. Jones, Dear Professor Lawrence, Dear Dr. Pangloss 等。但注意:在Mr., Mrs., Miss,Ms 和Dr.等称呼后只用姓氏,不写名字。
(2) 写给机构或公司,常用Sir(s), Dear Sirs 和Gentlemen. Sir(s) 是比较正式的礼貌称呼,通常用于公文;Dear Sirs 是英国人比较喜欢的用词,Gentlemen 为美国常用词。注意Gentlemen 仅用复数形式,不用单数Gentleman, 也不用Dear Gentlemen。
(3) 因为从英美人的名字可以看出对方的性别,所以如果知道收信人的名字是 Michel Byram, 则称呼 Dear Mr. Byram。如果对方为女士,名字叫 Barbara Johns, 为稳妥起见,可以称呼对方为 Dear Ms. Johns。
(4) 如果对方是 professor, doctor, dean, president 等,也可用 Dear Professor ?, Dear Dr.?, Dear Dean ?, Dear President ?。
(5) 如果不知道收信人的名字, 那么称呼可以是如下几种:Dear Sir or Madam, Dear Sirs, Gentlemen 等等。
(6) 如果是写给妇女社团、组织, 可用Madams 或 Ladies 等尊称。
4. 正文 ( The Body of the Letter)
正文是信的主体,是信中最重要的部分。英语书信的正文通常包括三个部分:
(一)写此信的目的;(二)具体要表达的内容;(三)表示希望或祝福的话。如:
With best regard .
Hoping for an early reply .
Looking forward to hearing from you soon.
Looking forward to an early reply.
With kind regard to your father (mother, wife ?).
Please convey my best regard to your father (mother, wife?). 一般书信的正文从低于称呼一、二行处落笔,每段第一行向右约缩进五个字母。正文要求简明扼要,条理清楚。每段不宜太长,尤其开头和结尾两段,更应简短。
如果正文是用打字机打,则要注意上、下、左、右的空边。一般来说,正文约占信笺的四分之三,左边的空白要比右边稍大一点,下方的空白要留得大一些。总之,空白要适中,两边要整齐。
5.结束语(The Complimentary Close)
结束语是写信人对收信人的一种谦称,相当于我国书信中的“敬上”、
“谨上”、“谨启”等。结束语单独成行,通常位于正文末行下面一、二行,可写在与正文左对齐的地方,也可以从中间向右写。开头词第一个字母要大写,末尾加逗号。
结束语应根据通信者之间的不同的关系适当地选用,并注意与称呼吻合一致。具体写法大致如下:
1)写给机关、团体、公司或不认识的人
Yours faithfully, (您忠诚的)
Yours truly, (您忠实的)
Yours very truly, (您非常忠实的)
2) 写给上级、长者或老师等
Yours respectfully, (您恭敬的)

3) 写给一般朋友、熟人、同学或同事

5) 在非正式信函中,可以用Love, Sincerely 等;在正式信函中,如果称呼为 Dear Mr?., 或Dear Ms?, 结束语用 Yours, Yours sincerely; 如果称呼为Dear Sir or Madam, Dear Sirs, Gentlemen, 则用Yours faithfully 或Yours truly 。
6.签名(The Signature)
签名指自己的亲笔署名,一般签在低于结束语一、二行之处。如果使用打字机,除打上自己的名字外,也要亲笔签名,这对于商业书信和事务性公函尤为重要。其做法是:
(1) 如签署者代表单位而非个人时,应在结束语的下一行,打出全部大写的所代表的单位名称。如:

(2) 写信人如是女性,而且与收信人素不相识,应在署名前(如用打字机,则在打出的名字前,)根据自己婚否,用圆括号注明“Miss”,或“Mrs.”等字样,以便对方复信称呼。如:

一封信将名字签好后,本来可以寄发出去,但有时可能会发现内容有点遗漏或随信需寄点什么附件等还要予以说明。这些虽属补充部分,但其写法也有具体要求,现说明如下:
1)附件(Enclosure): 如果信内已说明有附件要寄,也要在信笺的左下角附注说明,以便收信人查阅。如:
Encl: Doctor’s Certificate (附:医生证明一张)
Enclosures: 2 Invoices (附:发票两张)
2)附言 (Postscript): 一般而言,除非确属需要,最好不要附言,尤其郑重的函件,更应避免。如用,则在签名的下一、二行,信笺的左边,先写P.S. (即Postscript的缩写),接着写出要讲的话。如:
